I am writing to you today as your parliamentarian on the upcoming vote to change the by-laws.
Role of Parliamentarian
You will recall our by-laws outline the immediate past president is to serve as parliamentarian ensuring elections and decision processes are followed explicitly. In executing this duty, I am updating you on the voting process for the proposal made to amend our by-laws.
What’s Being Proposed
The proposal is to rename our organization from Chattahoochee Plantation Women’s Club to Chattahoochee Women’s Club.
Communication of Alternate Views
There are strong opinions on this issue, and many believe it is important to hear from those proposing the by-laws and name change AND those who oppose the changes.

Election Process and Integrity
To ensure unimpeachable election integrity, on Wednesday, March 1, the Club’s CPA firm, Ferraro Tax and Accounting CPA, LLC, will mail envelopes containing ballots to our members eligible to vote by the U.S. postal service. The envelopes will also have a postage paid envelope to return completed ballots via the U.S. postal service to the accounting firm. All ballots must be post marked by March 31. Ferraro Tax will open the ballots and tally the votes by Friday, April 7.
Your vote is confidential. Ferraro Tax will share the results of the vote in total. Only Ferraro Tax will have access to the individual ballots.
Who is Eligible to vote?
Residential members of the CPWC and previously grandfathered non-residential members are eligible to vote. As you may recall, sponsored members are not eligible to vote.
Required Quorum
The by-laws require a “quorum” of members to cast a vote. A “quorum” is a majority of our voting eligible members or approximately 90 ballots. If we don’t have a quorum, the vote will be invalid, and no changes will take place.
If we have a quorum, the proposal to change the by-laws will require a simple majority vote in favor of the amendment.
Transparency, Integrity, Respect and Good Will
The board continues to work together in a cordial manner. Our collective goal for the process is to dutifully follow the by-laws with transparency and integrity. Most of all, we hope our community will continue to act as a loving, respectful community of friends and neighbors.
