Upcoming Events

Apply for a Ninth District PTA

program grant of up to $800


Grant applications due by noon on January 11, 2023.


Ninth District PTA is offering program grants to unit and council PTAs in good standing. These grants are to develop and implement programs and projects that support the PTA mission and goals. Ninth District PTA grants are a one-time funding source. Individal grant awards will not exceed $800.


Grants will be awarded for programs in health and welfare, parent and student education and parent and student involvement. Units or councils must submit grant applications to the Ninth District PTA office by noon on Wednesday, January 11, 2023.

Ninth District PTA is over 80% to our Membership Goal!


As of November 30 , we have 37,566 PTA members in Ninth District - 83% to our goal of 45,000 PTA members in San Diego and Imperial Counties. This is thanks to you - our amazing PTA unit leaders! We need 7,434 more members to reach our goal. That's just about 22 members per unit!


Treasurers, remember to forward all non-Totem memberships through channels monthly.

In late October PTA Presidents received the 2022-23 Financial Mailing and all PTA officers can view and download the packet on the California State PTA website. The Financial Mailing helps you successfully run the financial side of your PTA.

Workers Comp Forms Due January 31


Presidents, look for an email from AIM, our insurance company, with the 2023 Workers Compensation form in the next few weeks. Please fill out the form and return to AIM by January 31.

Reflections

The Reflections Committee is hard at work reviewing the student art work submitted to Ninth District PTA this year with the theme "Show Your Voice!" Look for the Reflections winners to be announced in January and celebrated at the California State PTA Convention in April.

Parliamentary Pointers

"Shall" vs. "May" in PTA Bylaws


Occasionally there is a question about whether or not the association and the executive board have choices in the Bylaws. Often it comes down to one little word in the sentence.


  • Article V – Officers and Their Election, Section 1 reads, “Each officer or board member of this Association shall be a member of the Association.”
  • Article VIII – Association Meetings, Section 8 reads in part, “Members of the association may participate in and act at any meeting of this Association via teleconferencing using equipment with which all association members participating in the meeting can communicate with each other at the same time.”


In both sections I have added the emphasis to point out the difference in the two sections. If a person shall be a member, there is no question about that person joining the PTA in order to serve as an officer or board member. On the other hand, in the teleconference section, the association has the option of meeting via teleconference equipment. If we have to go back to lock down to comply with state or county health regulation, the association may meet via teleconference equipment and continue the good work of the PTA.


There is no wiggle room in shall or must. There is wiggle room in may.

Auditor Additions

New Choice on Audit Forms


There is more big news about Audit Report forms this month. Last month I highlighted the release of a new fillable pdf version of the report. Now I’m happy to say the recommendations section of the form has been updated with a second “correct” choice: “correct with the attached recommendations.”


Previously without a ‘clean sheet’ on the Audit Checklist, the next choice was “substantially correct,” and while that is not wrong in cases where the problems are minor, that may not clearly describe the unit’s overall condition. The new choice, “correct with the attached recommendations,” is more appropriate if the unit’s funds have been properly handled but there are minor problems in procedures not affecting account balances.

Free Lead Poisoning Awareness Presentation


The County of San Diego is offering free presentations to teach families how to avoid or minimize lead exposure of young children. The presentation is about 30 minutes long in English or Spanish. They also have materials available in other languages for families.
