Convention Preview: Five things You Need to Know

Diocesan Convention is November 10 and 11

The 186th Convention of the Episcopal Diocese of Indianapolis will be held in person on Friday, November 10 and Saturday, November 11 at St. Paul's Episcopal Church in Indianapolis. The theme is Rest and Liberation. Find updated information about convention on the diocesan website.

1. Voting Essentials

All elections and votes on legislation and parliamentary motions will be conducted using an electronic voting service called ElectionBuddy.


System Requirements: Delegates should bring a device capable of connecting to the internet, such as a smartphone, tablet, or laptop. Accommodations will be made for participants who do not have such a device. For those who have phones or tablets with unlimited data plans, we ask that you use data instead of the parish WiFi in an effort to reduce the amount of bandwidth being used and improve connectivity for others.


Receiving the Voting Link and Unique Credentials: Registered delegates eligible to vote will receive an email on Thursday with the subject line "Vote now: Episcopal Diocese of Indianapolis." That email will contain a six-digit access code, a six-letter key, and a link to the diocesan convention voting site. You will use the same link and the same access code and key for all votes during the convention.


Follow the link in the voting email when you receive it and enter your credentials. After you have logged in, you will see live test ballots. Use these test ballots to cast practice votes and familiarize yourself with the system.


If you Lose or Cannot Find Your Voting Information: Attendees will receive the same unique voting information on paper when they check in on-site. Please do so before the formal business of convention begins.


There will be a test vote early in convention.

3. Check In and General Information

Registration check-in: will begin at 12:00 p.m. EDT on Friday and at 7:30 a.m. EDT on Saturday. The registration check-in tables will be located in the Burrows Commons lobby just outside the Nave. Registrants will receive their personal schedule, a map of St. Paul’s, and nametag upon check-in.


Bathrooms: Due to a limited number of bathrooms within the building, there will be a large bathroom trailer in the southwest corner of the parking lot near the walkway. We ask that those who are able please use the outdoor facilities so that the handicap-accessible restrooms in the building can be used by those who have physical limitations.


Refreshments and snacks will be provided on the first floor of the Parish Center between workshops on Friday, as well as in the Lilly Room during breaks on Saturday. You are welcome to bring your own snacks, but please be mindful of trash and crumbs.


Seating: Those attending the meetings on Saturday may also want to bring a cushion to sit on since seating will be in the pews or on hardback chairs.


In order for those on the dais to clearly see who is voting and who is not, all clergy and delegates will be asked to sit in the front pews of the Nave, and all alternates and guests to convention will be asked to sit further back. There will be signage posted on Saturday to guide you to the correct locations. Unlike previous conventions, there will be no assigned seating based upon diocesan neighborhoods.

4. Convention Schedule and Programming Details

Friday Workshops: This year’s convention will begin at noon with a book signing by our keynote speaker, Cole Arthur Riley. This will be followed by three sessions of workshops. The first of these sessions is a workshop with Cole Arthur Riley in the Nave, and prior registration is not required to attend her workshop.


On the other hand, space is limited for the Session 2 and Session 3 workshops, and it is very important that we adhere to building fire codes and room limits; for this reason, we ask that you only attend workshops for which you have registered ahead of time during Sessions 2 and 3. If you have forgotten which workshops you chose on the online registration, please know that the workshops you selected will be listed on your schedule when you check-in, and workshop sign-up lists will be posted outside the workshop spaces.


Friday evening, there will be a sung evening prayer service in the Nave followed by a banquet dinner in the parish hall. Unlike past years, there will not be an on-site registration option for those who did not already register for dinner. If you listed dietary restrictions when you registered, you may receive a special card upon check-in that you will need to bring with you to the dinner. Non-alcoholic drinks will be provided for free, and alcoholic beverages will be available for purchase via credit card.


Saturday: Saturday will begin with a continental breakfast in the Parish Hall, during which photographer Adam Frieberg will be available in Roberts Library to take free headshots for parish leaders. Convention will convene in the Nave with an Opening Prayer at 9:00 a.m. EDT. Breaks will occur throughout the day, and lunch will be served in the Parish Hall after noonday prayers at around 11:30 a.m. EDT. The day will conclude with a Closing Eucharist.

5. Kids and Youth

Kids (ages nursery through 4th grade) and youth (grades 5th through 12th) who have registered will participate in activities in the nursery & high school classrooms, located next to the Parish Hall in the Parish Center building. Check-in for children and youth begins at noon on Friday and 8:30 a.m. EDT on Saturday. Youth will participate in the Closing Eucharist on Saturday afternoon.
