Hello Julie,

We're getting your January 1st plan year set up on the Flores Dash Employer Portal found at www.flores247.com. Flores Dash is your hub for all things Flores. It houses all reports, invoices, and participant details, and we are excited to share it with you.

Please review the transition and renewal information below, and if you have any questions, please contact us at Service@ProBenefits.com or just reply to this email. We're here to help!

Employer Portal Initial Login & Reporting Password

If you have not logged in yet, please follow the instructions below to log in to your Flores employer portal account. Please note: if you have already set up your flores247.com employer portal login, you will continue logging in with your existing information.

  1. Access the portal at www.flores247.com
  2. Select Employer Login
  3. Log in using your email address and this password:
  4. After you are logged in, change your password by going to the drop down menu with your company name in the upper right, choosing "Manage your Settings," and then "Change Password"

To protect the security of your account, please complete your initial portal login and change your password as soon as possible.

The password listed in step 3 above will also serve as your password to open reports that you will receive from Flores, so please make a note of it and keep it on hand, even after changing your portal login password.

Re-Enrollment Checklist on the Flores247.com Portal

If you haven't already done so, be sure to log on to the flores247.com employer portal and complete your re-enrollment checklist to let us know of any changes to your plan details.

Participant Enrollments

If you haven't already done so, please either enter your participant enrollments (and elections, if applicable) for the new plan year on the flores247.com employer portal or send us a census for import as soon as possible.

Debit Cards (if included in your plan)

New Flores debit cards for your current plan year participants will be mailed in time for them to receive them by January 1st. Please note that ProBenefits debit cards will work through the end of your current plan year. Remaining balances will be transferred to the Flores portal around January 15th. (If you offer HSAs through ProBenefits, please see HSA-specific information below.)

Participant Claims

Participants should continue to submit reimbursement claims on the ProBenefits portal and mobile app through 12/31/22. Beginning 1/1/23, they will need to begin submitting all claims, including runout claims for the plan year ending 12/31/22, on the flores247.com participant portal. Claims filed 1/1/23 and after for the plan year ending 12/31/22 will be reimbursed after balances are transferred, which will occur by January 15th. Reimbursements will be made once a week; except Dependent Care, which reimburses as funds are available on any business day. (If you offer HSAs through ProBenefits, please see HSA-specific information below.)

Participant Communication

We will send an email (view here) to your current plan participants to let them know to look for their portal login information by email and their new debit cards in the mail (if applicable), and to provide them with information about claim submission and balances being transferred to the new portal. We will also let them know about new Dependent Care claim options (if applicable - as referenced in the "Important Employer Transition Information" document linked below and previously included with your renewal information). You may also share the Employee Welcome Flyer linked below with your participants as an initial introduction to Flores. (Please note - for HRA-only participants in HRA plans which do not include a debit card, participants will receive login information once the plan is fully enrolled for the new plan year.)

Your participants' Flores portal login information will be sent from your account manager's Flores email address, so please be sure emails from flores247.com are allowed through your email security systems. The subject line of the message will be "Flores Participant ID (PID) Notification."

HSAs (if you offer through ProBenefits)

If you offer Health Savings Accounts through ProBenefits, new Flores HSAs will be opened for your participants prior to 1/1/23. Please follow the instructions below to start funding the new Flores HSAs at the beginning of your new plan year. Also, please be sure to log on to hr.probenefits.com and stop your current HSA contribution schedule as of 12/31/22 to prevent duplicate contributions.

Before your first contribution date in the new plan year, please review the Flores HSA Employer Guide, and note the procedure for HSA contributions and funding on page 6. In order to fund the new Flores HSAs that have been opened for your HSA participants, you will need to upload a simple file on flores247.com 2-3 days in advance of each contribution date, review the Transfer & Exception Reports that will be generated, and then approve the final contribution total before contributions can be drafted and posted.

Prior to each contribution date, please follow these steps:

  1. Prepare your HSA Contribution file based on the format on page 9 of the Flores HSA Employer Guide
  2. Log in to flores247.com portal, go to File Upload, and upload your HSA Contribution File
  3. Watch for email and review Transfer & Exception Report
  4. After reviewing your Transfer & Exception report and confirming the contribution total, log in to the flores247.com portal, click on "Perform Direct Debit” in the left navigation bar, and click Pay next to the correct pay date for your HSA contributions. Important! No contributions will be posted if this step is not completed!

Again, before posting contributions on flores247.com, please ensure that you have stopped your current ProBenefits HSA contribution schedule as of 12/31/22 on hr.probenefits.com so that contributions are not posted to both accounts.

We will transfer your participants' ProBenefits HSA funds to their new Flores HSAs in March 2023. There will be no charge to you or your participants for this transfer. The participant communication referenced above will contain some initial information about the HSA transition, and a letter including details of the upcoming transfer will be mailed to accountholders around January 15th. You may also share this handout with your HSA participants: Important Transition Information for ProBenefits HSA Participants. We will provide you with more information and a detailed timeline in the next few weeks. Prior to March 1st, your HSA participants will have two HSAs, and will retain access to the ProBenefits debit card and participant portal for their ProBenefits HSA, while accessing their new Flores HSA via their new Flores debit card and flores247.com participant portal.

ACH Banking Filter

If you are currently using an ACH filter on the account(s) used for participant claims/card payments, HSA contributions, and/or monthly service invoice drafts, please be sure to review the "Important Employer Transition Information" linked below and make the necessary changes to your filter. If you have filters in place and do not make these changes, it may result in your bank blocking the transactions and your participant reimbursements/HSA contributions/invoice payments being delayed, and you may incur additional fees.
