T&E Card Annual Training Ends February 28

Thank you to all of you who have completed Annual T&E card training. There are approximately 300 cardholders who have not yet finished training. The last date to complete training is Sunday, February 28, 2021. Cardholder training is designed to give cardholders the most current information on T&E Card policies and procedures and is required. If training is not complete by February 28, cards will be suspended on Monday, March 1.

If you are no longer using your T&E card, please cancel your card.

A Grubhub account offers:
  • A way to avoid taxable gift cards to employees

How it works:
  • Request an account by emailing travel@virginia.edu
  • Accounts are available at the School/ MBU level
  • Departments with a minimum $10K annual spend can request their own account
  • Choose admins for your account who will create events, employees, budgets, permissions, pay invoices, etc.
  • New accounts are created within 3-5 business days
  • Schedule training with UVA's dedicated Grubhub Sr. Client Success Manager
  • Pay invoices weekly via T&E card (only one T&E card per account)

Unused Ticket Credits as a Result of COVID-19

Please email travel@virginia.edu for more information before purchasing a new airline ticket. The University has many unused tickets that were canceled because of travel restrictions put in place due to COVID-19. While the university is still under a travel restriction (SEC-046), if you have anyone in your department that has been approved for travel, there may be unused ticket credits in your department that can be used for your travel.

ExpenseUVA Helpful Tips 
 
  • The user dashboard in Chrome River now includes a new feature, Items Available. This addition allows users to quickly see the number of outstanding T&E Card transactions without having to click into their eWallet.
  • Tracking Expense Reports Job Aid is available. This will help users determine where an expense report is in the routing process.
  • Do you know your Ambassador? They are subject matter experts, not only in ExpenseUVA, but also policies and procedures specific to your area. They are there to help you with any questions you may have. Ambassadors are your first level of contact and can help you navigate the expensing process quickly. Before contacting the Travel & Expense team, we encourage you to contact your Ambassador first (use our Ambassador Search if you need help finding yours). They are ready and able to help solve your problems!
