1. Thank People for Their Generosity
Never underestimate the power of a genuine thank-you. Whether someone makes a financial gift, volunteers at an event, or dedicates time to a ministry, acknowledging that contribution helps people feel valued and connected to the mission.
A personalized note, a verbal expression of appreciation, recognition at an event, or a permanent plaque honoring a special gift can all communicate gratitude. The recognition doesn't have to be elaborate or expensive. What matters is that people know their generosity is noticed and appreciated.
When people feel that their contributions matter, they are more likely to remain engaged and continue sharing their gifts.
2. Share an Annual Report of Parish, School, or Diocesan Life
An annual report is an opportunity to tell the story of your institution - not just through financial statements, but through the people, ministries, and accomplishments that bring its mission to life.
At a minimum, the report should provide a clear snapshot of the institution's finances. Ideally, it should also highlight the impact of the community's shared resources, including:
- Ministries, outreach programs, and services that support the community.
- Volunteer involvement and the contributions of staff and ministry leaders.
- Accomplishments, educational milestones, and other meaningful statistics.
- Improvements made to facilities and resources.
- Future priorities and goals.
A visually engaging report featuring photographs, brief stories, and meaningful statistics can make this information accessible and interesting to a wider audience. It provides an opportunity to thank the community for their generosity while demonstrating what that generosity makes possible.
In other words, it doesn't simply tell people where the resources went. It shows them what those resources accomplished and the impact they had.
3. Report on Capital Campaign Progress
If your parish, school, or diocese has conducted a capital campaign, regular progress reporting is especially important. The case statement presented at the beginning of the campaign established a vision and outlined what the community's generosity could accomplish. Keeping people informed helps demonstrate how that vision is becoming reality.
At least annually, consider sharing an update that includes the total funds raised, the number of families participating, the projects completed, and the work that remains. When possible, include a timeline for upcoming phases of construction or other improvements.
And remember: accountability means communicating honestly about the challenges, too. If a project has been delayed or plans have changed, explain why and provide an updated outlook when possible.
These updates remind donors that their gifts are being put to work and that leadership remains committed to the promises made. They also help sustain enthusiasm and keep the community connected to the campaign's purpose, even when projects take time to complete.
