The Procurement Post 
This is one of the busiest quarters of the year! Here are some tips for expedited service during this busy time:
 
1.You will achieve the fastest response time using our ServiceNow catalog about requisitions, bids, invoices, contracts and general "how-to" questions. Instead of emailing an individual; please use: https://ucsb.service-now.com/procurement

2. Use the Comment tab on a Gateway requisition to get in touch with your assigned Buyer or Contracts Analyst.
 
3. Submit a Supplier Add Form as soon as you consider using a vendor *if* they are not in Gateway already. Some suppliers take longer than others to respond, or don't respond at all.
 
4. Don't sign anything, including proposals, invoices, quotes, or scopes of work that include expenditure. Signing creates a contract - and working with the supplier to remove a department signature adds to the processing time.

Interested in posting a department ad in the UCSB Daily Nexus? Please use Gateway to submit a PO and pay their invoice! The Nexus has taken Gateway payments for several years, and prefers Gateway over recharge journals. In addition, as a campus department they are unable to accept the Flexcard for payment. A New Addition to the Team
Alix Martinez recently joined the Procurement team full-time as the new Procurement Coordinator. Alix previously attended UCSB where she earned her Bachelor’s in Comparative Literature in 2018. Before joining the team, Alix worked in the publishing industry and attended Portland State University where she received a Master's Degree in Publishing. Outside of work her hobbies include reading, traveling, and spending time with her cats and dog.
Praxair is now Linde
Praxair Distribution Inc. has officially changed their name to Linde Gas & Equipment Inc. following a company merger. Updates to the vendor record and Gateway PunchOut have been made, and Jose Ruiz is our campus rep: Jose.RuizJr@linde.com, 805-276-5153
Amazon Sustainable Products List is Live
Another sustainable products list is live! Check out the UC Green Preferred Shopping List available from the Amazon Punchout Home Page. This list has been vetted by UCSB’s PACES program to meet the UC’s Sustainable Procurement Guidelines and contribute to UC’s 25% Green Spend goal.
Please re-think hitting that Forward button!
If our office sends a Gateway comment or an email with questions about the transaction, please do not forward (including copy and paste) these comments or emails to the supplier. Procurement negotiates on the department’s behalf to assure that terms and conditions comply with federal and state law, and UC Policy. While it may seem convenient to forward these communications, doing so could be perilous to Procurement's ability to negotiate. Forwarding internal communications may disclose sensitive, confidential, or attorney/client privileged information impairing UC’s leverage with a supplier. When certain supplier’s terms do not comply with UC Policy, the department might need to assume the risk of loss in connection with those terms, and all that communication must stay internal.
FlexCard News
Recharge or FlexCard? Just a friendly reminder that FlexCard should not be used to settle interdepartmental recharges. Recharges for campus goods and services related to activities like Professional and Continuing Education (Extension), Daily Nexus, and Transportation and Parking Services should not be processed on the FlexCard unless approved in advance by the FlexCard Administrator.

New Moving Contract
In addition to the list of movers we notified the campus about in our May Newsletter, Suddath Relocation was also awarded as part of the master campus RFP contract for UC-owned property: Suddath Relocation - tim.balla@suddath.com

Removals for personal items may be paid either by Reimbursement to the new employee, or via a Travel Advance. The contracts above are not for removals.
Small Business Supplier Search
Don’t forget that UCSB’s Small and Diverse Business Program website includes tips for finding certified small or disabled veteran business enterprises. We recommend the UC-contracted Supplier Diversity database, Supplier.io Explorer, as this tool sources small and diverse business certifications from hundreds of organizations, including SAM and the State of California, and maintains an active database of small and diverse suppliers used by UC campuses. A Mini Tune Up training session on how to request access and utilize the Supplier.io tool is available for viewing.
