UPDATE: Job Description Acknowledgement
in New JDXpert Platform

Coworkers,

UPDATE
  • We continue to work through a few unexpected challenges with the initial integration of the JDXpert system, the new platform for our job descriptions. While we focus on resolving those, we are adjusting our job description acknowledgement plan that was previously communicated.

  • We have already launched the job description acknowledgements to many coworkers. Our team will continue to launch those in groups to the remaining coworkers from now through the end of November.

  • When your job description launches, you will receive an email from JDXpert (see sample below). The email will contain a link to your job description for your acknowledgement so that we can maintain regulatory compliance.

  • Please acknowledge the job description in the JDXpert system within two weeks after receiving the email.

  • Note: You will also be able to access JDXpert through quick links on FRANC and MyFranciscan, but your job description acknowledgement task will not be available in JDXpert until it is launched as described above.

Franciscan Alliance has implemented a new platform for job descriptions that replaces the Halogen/Saba (ePerformance) Job Description Library. The transition provides many benefits and also requires all coworkers to acknowledge their job description in the new system. With the new platform comes updated processes for leaders when requesting a new job description or change to an existing job description.


JDXpert – New Platform for Job Descriptions
  • Franciscan has chosen the JDXpert platform because it directly integrates with our Workday system. The integration will improve our connection between the job descriptions that define a position and the job profile in Workday that is used for recruitment, performance management, and other aspects of the Enterprise Resource Planning (ERP) workflows. JDXpert is also user-friendly, intuitive and easy to navigate. The Halogen/Saba (ePerformance) Job Description Library has been sunset.


ACTION REQUIRED - What you need to do
Coworkers Acknowledge Job Descriptions in the new system
  • There is NO CHANGE to current job descriptions in the new system. We’ve simply moved current job descriptions to the JDXpert platform from Halogen/Saba (ePerformance).

  • In order to be compliant with regulatory requirements, we need coworkers to acknowledge their job descriptions in the new system.
  • We are launching an acknowledgement process to sign off on job descriptions in the JDXpert platform to all coworkers. Completing the acknowledgement is quick and easy.

  • By the end of November, an email will be sent to all coworkers through the JDXpert system.
  • The email will come from jdxadmin@hrtms.com (No Reply JDX Admin). This is a genuine email from our vendor partner.

  • The email will contain a link to your job description in the new system. Note that the JDXpert portal has “franciscanalliance.marketpayjobs” in the web link.
  • Simple steps to complete the job description acknowledgement
  • After you receive the email, click on the link in the email to the JDXpert (marketpayjobs) portal.

  • View your job description and complete the acknowledgement. (See the step-by-step instructions under Resources below.)

  • IMPORTANT: Complete this task within two weeks of receiving the email to help us meet regulatory requirements!

  • Links to JDXpert are also available under the Quick Links tab on the FRANC intranet and the Quick Links section on the MyFranciscan homepage. Simply click the blue “Log On” button when prompted - the username and password section is for Admin login only.
  • Note: Your job description acknowledgement task will NOT be available in JDXpert until it is launched, which will occur by Nov. 30.


Looking ahead
  • To maintain regulatory compliance, any time there’s a change in a job description, the respective employee will receive an email from JDXpert to acknowledge the job description in the JDXpert system.


Manager responsibility
  • Review the knowledge articles below for the process to request a new job description or a change to an existing job description in JDXpert.

  • Remind your coworkers to complete the job description acknowledgement after the emails have been sent, which will occur by Nov. 30.

  • Answer questions your team members may have regarding the content of their job description.
