We are phasing out the "Take Offline" retention option and are replacing it with a "Backup" option. The old Take Offline worked differently depending on whether you were using Cloud or Premise. For cloud. the Take Offline option would make ZIP file copies of records/documents and store them in the cloud with a report that allowed users to download the ZIP files at their convenience. For premise, it would copy the Records/Documents to a local folder to which the server had access.
Both of these had shortcomings. For cloud you had to manually copy a ZIP of data and extract it locally to do anything with it. Nobody did it or if they did they did not like doing it. For premise, the server had to have direct access to the folder in which the information was exported. This was not always optimal. And in both scenarios you had no control over the output format.
The new "Backup" option simplifies the process and uses the same mechanism for both cloud and premise which will make implementation and support much easier. We are leveraging our Exporter Service to do the data transport so we can use Add-Ins during the Backup process if desired. This means you can control the output location directly to places where the server may not have direct access. It also means that, with Exporter Add-Ins, you can now control what information is output and in what structure.
This new shift in Retention processing will be a big benefit to all of us and, most importantly, to the customers.
