2024-2025 Flu Vaccine Available to Order

Ordering of state-supplied flu vaccine for the 2024-2025 Respiratory Season is now open in the MIIS. Refer to the table below for which formulations are currently orderable in the MIIS. Please note that additional formulations will be orderable in the coming days/weeks as the State's allocations arrive from CDC.

Important Reminders:

  • All state-supplied flu doses in the 2024-2025 Respiratory Season will be Trivalent formulations as opposed to the Quadrivalent formulations that were available for the 2023-2024 Respiratory Season.
  • There will be no ceiling limits applied to sites for the 2024-2025 Respiratory Season.
  • Ordering best practice is to order smaller quantities, but order more frequently.
  • Sites must review their storage unit capacity before placing Flu orders to ensure there is enough empty space in their storage units to store all doses requested.

Digital Data Logger Office Hours

The Immunization Division is hosting open office hour calls every Monday on a weekly basis, starting in August, to answer any questions regarding the new digital data logger devices and the online SmartView system. Representatives from the Vaccine Management Team, Quality Assurance Team and Berlinger Technical Team will be on each call for site support.

The first Digital Data Logger Office Hours will occur on August 12, 2024 from 1:00-2:00 PM. Please use the meeting link below to register and join the Office Hours session.

Each call will consist of a short presentation (~10 minutes) on key concepts related to the SmartView digital data loggers and will be followed by a 50 minute open question and answer session. Sites are encouraged to ask questions both about key topics discussed in the presentation sections, as well as any clarifying questions about the online SmartView system, device functionality or programmatic expectations related to data loggers.

Digital Data Logger Rollout

Please review the following important actions and updates to ensure a smooth DDL installation process and introduction to the SmartView system:

DDL Installation Phases:

  • Notification: Sites selected for the next installation phase will receive an email with the timeline and required preparations. If you have not received this email yet, this only means we have not yet arrived at your site in our list to rollout. There is no need to take any actions.
  • Preparations:
  • Ensure availability of power strips, electrical outlets, and Wi-Fi information for each DDL.
  • Ensure your Vaccine Coordinators and Medical Director information is current in MIIS so they can receive our notifications.
  • Inform office managers and relevant staff about the expected timeline of when MADPH staff will arrive to install new DDL.
  • Complete the survey included in the notification email you will receive to help us address your needs during the installation process.

Navigating SmartView:

  • Access materials and resources at the MIIS Training Center to navigate SmartView:
  • You can find them on the MIIS Training Center by clicking Mini-Guides --> Vaccines.

Starting a Support Ticket with Berlinger:

  • Email: support@berlinger.com
  • Include the following:
  • Practice PIN # and MADPH in the subject line.
  • Screenshot of the issue (if issue is in SmartView application)
  • Picture of the device screen or device part (if issue is with device)

Please email immQA@mass.gov with any questions about the DDL rollout process.

Digital Data Logger Go-Live Transition

Effective Monday July 15th, all provider sites with the new SmartView digital data logger devices installed, should transition to utilizing the devices as their primary source of temperature monitoring for state-supplied vaccines in their inventory. Sites that transition to utilizing the SmartView digital data logger must complete the following steps:

  • Upload the old Fridge Tag2L device temperature logs one final time in the MIIS to ensure that there are no missing days in your temperature log records
  • Generate all temperature log reports used for monthly uploads in the MIIS, ordering and TempX forms using the online SmartView platform
  • Acknowledge daily temperature readings for all units storing state-supplied vaccines in the online SmartView platform
  • Acknowledge and close all alarms for units storing state-supplied vaccines in the online SmartView platform

For more information regarding the go-live transition to the SmartView digital data loggers, please refer to the Go-Live Transition Communication.

Merck Packing Slip Update

When emailing/faxing Merck packing slips (ProQuad and Varivax), please ensure the shipped quantity is equal to the order quantity for both the vaccine product and the associated diluent. Sites may need to submit more than one packing slip if the vaccine or diluent is split between two separate slips.

All sites must initial and date every received the Merck packing slip associated with vaccine shipments. If the packing slip is not initialed and dated, the Vaccine Management Unit will send the packing slip back to your site requesting this information.

Failure to submit all packing slips (initialed and dated) for Merck products can result in a suspension status for your site, which will impact your ordering capabilities in the MIIS.

COVID-19 Ordering Update

As manufacturers prepare for the 2024-2025 respiratory season, the availability of specific COVID-19 vaccine products and brands through the State Vaccine Program has changed. Refer to the table below, for which COVID-19 vaccine formulations are currently available to order in the MIIS. Please note COVID-19 vaccine expiration dates are shorter than that of other routine vaccines and will continue to get shorter as we approach Fall of 2024. To combat the shortening turnaround time between receipt and expiration, sites should order smaller quantities of COVID-19 vaccine (3-4 weeks of usage) and place more frequent orders if needed.

Sites are required to keep all packing slips for vaccine shipments, including all COVID-19 products. Packing slips are not required to be sent to the Vaccine Management Unit for COVID-19 vaccine orders, but they must be kept on file at your site.

Friendly Reminders
  • Always include PIN/Site Number, name and phone number when contacting the Vaccine Management Unit.
  • All sites must regularly check the new Message Center located in the MIIS, so they don't miss any important communications from the Immunization Division.
  • Upload temperature logs monthly in the MIIS. If temperature log data is missing (loggers hold 56 days), the Vaccine Management Unit cannot be confident that temperatures have remained in-range and this may result in loss of vaccine and possible restitution.
  • If your site experiences a temperature excursion involving TD vaccine from Mass Biologics, email the manufacturer at regulatoryaffairs@massbiologics.org for vaccine viability.
