We know the influx of new faces, places, and policies can be overwhelming, so we wanted to send you this email with lots of helpful info to get you started! So, who are we?


We're Instructional Designers in the CETL office. Our job is to support faculty with Canvas assistance, building and reviewing courses, and general grading, course, and pedagogical support.


The easiest way to contact us is via Teams chat, however, access to Teams will require you to have access to your @txwes.edu email. If you don't have access to that yet, feel free to email us!


Outside of general course and Canvas help, any specific policies or procedures within your department will need to be discussed with your department chair or your dean. (such as grading policies or course outcome requirements)


Issues such as log-in errors, computer problems, wifi problems, or applications not working should be reported to the IT Help Desk. CETL can't help with these issues. You can also email them at helpdesk@txwes.edu.

Are you teaching an online or hybrid course? If so, you will need to complete our distance education instructional course, BOOT (Basics of Online Training). This course (a requirement for those who teach either online or hybrid courses) is a four-week course which explores effective online facilitation techniques, making the best use of LMS systems in line with TXWES policy, and alignment to teaching and learning best practices.

TXWES Grade Policy

TXWES Withdrawal Policy


All grades are required to be entered/tracked in our Canvas LMS system and visible to students throughout the semester. After finals, you will need to input the final grades into our Colleague system, using the Ramlink website. The final grade in Canvas is not the official grade and does not transfer into the Colleague system automatically.

Can I round up?

If a student earned a 92.97 in your course and you want to round their final grade up to a 93, that's your decision!


Can I accept late work in the course?

That's up to you and what your syllabus states. Always be consistent with your course syllabus. There's an option in Canvas to automatically apply a % penalty for a certain amount of time past the due date. Ask us how, if you'd like to set this up!


What if a student is missing work due to personal issues?

If a student has personal or medical issues preventing them from submitting an assignment on time, you have the freedom to communicate an extended deadline to the student. Here's the TXWES Attendance Policy. If these issues occur and the end of the semester, you have the ability to assign a grade of "Incomplete", however there are IT and Registrar processes that will have to happen, as well as paperwork. Try to avoid giving "I" grades!

Attendance tracking is vital, not optional! Many professors don't realize that lack of attendance reporting impacts student financial aid, campus funding, and more!

Important:

There are 2 types of attendance!

  1. Census Attendance: This is mandatory to identify students not attending the course they registered for. The census date is listed on the academic calendar for each semester. This attendance is recorded through the Colleague Self-Service website. Once you have submitted this information, it cannot be edited or changed!!
  2. Daily Attendance: This attendance is recorded on the EAB Navigate website, or in Colleague. Access the Ramlink website and log in, then click "Faculty Self-Serve". Record attendance weekly.

Helpful Notes:

  • Having email or Canvas access issues? Contact IT Help Desk
  • Adjunct professors aren't required to get parking stickers. You're good to go!
  • Need to get your school ID? Visit the front desk of the West Library. Have your employee number ready! (Should be located in one of the hiring emails from HR)
  • Use Ramlink to find your on-campus class locations and rosters!
  • Course ID's can be confusing! Let's break one down:
  • 24/SP-PSY-1301-01-General Psychology
  • 24 = the academic year
  • SP = the semester (SP is spring, SU is summer, FA is fall)
  • PSY = the department ( in this case, psychology)
  • 1301 = the course ID number
  • 01 = the section number (multiple classes/sections of the same course)
  • Want a blank space in Canvas to practice adding content? You should have a blank sandbox course already, but if not, contact CETL and we can add one for you!
  • Not used to using Canvas? No problem! Visit our CETL Hub for full tutorials!
  • Need help setting up your grade book or class for the beginning of the semester? Book a meeting with one of us or email/chat!
