2018 W-2's AND 1099's TO BE ISSUED BY 
EFILE4BIZ!
 
Rather than manage the mountains of paper documents that need to be issued to employees, service providers, the IRS, various states AND copies for you, we are enlisting the services of eFile4Biz.com.  Information will be transferred from QuickBooks Desktop and/or QuickBooks Online directly to eFile4Biz and they will print and mail all forms to employees and service providers, and file all copies with government agencies.  Copies in the form of printable PDF's are available for up to 4 years after filing.  For employers who are interested, W-2's can be delivered to employees via email which gives them immediate access via a secure link.  I have already talked with many of you and have received positive feedback.  The cost is comparable to the the cost of purchasing the forms from a printer, billing for my time to manage all of the sets of forms including stuffing and mailing and postage.  If you have any questions or reservations please contact me.

WHAT DO I NEED TO DO BEFORE FORMS ARE SENT OUT?


I can't say enough about the importance of accurate names, addresses and taxpayer identification numbers in your QuickBooks accounting system.  Please review your employee list, has anyone moved, is all personal information updated and accurate?  Copies of W-4's and W-9's attached to employee and provider names inside QuickBooks is very helpful during this time. 

I will be contacting many of you with lists of vendors and suppliers that should receive 1099's at year end.  If you have not maintained your collection of W-9's throughout the year, this can be an issue with all forms due to recipients and the government by January 31st, 2019.  

Have your employees completed new W-4 forms for 2019?  With the tax changes and so many requests from the IRS for employees to review their tax withholding status, it wouldn't hurt to request new forms from employees for the new year.



CLN CONSULTING ASSOCIATES IS MOVING!

 

After 4 years in our office on Main Street in Woodstock, we are moving.  Some of you have visited the office during the time that we've been there and it has been nice to have space to spread out and be a part of the hustle and bustle of a revitalized small town.  However, CLN had a goal to become a virtual cloud-based business for many years and with your help we are almost 100% remote with only a few exceptions.   I have decided to eliminate the expense and take the office back to my home.  

For most of you there will be little or no change in the way that we communicate.   As always, email is the best way to reach me and email is checked more frequently including holidays, weekends and evening hours.  I intend to keep my office telephone number of 678-540-7809.  Whether you use this number o r my cell phone number, neither are answered in the evening or on weekends as I do not use my work phones for personal use and shut them down during off hours and holidays.  Text messages require an instant response to be effective and I am rarely in a position to be able to respond or communicate immediately.  I do not monitor text messages during the working day and as you know, once the message has been viewed, there is no "snooze" or way to mark the message a s "unread" so that I can go back, review and respond at a more convenient time.  Again, this telephone is  shut down at night and on weekends so texts are completely lost.  



DON'T FORGET THAT QUICKBOOKS 2016 IS BEING DISCONTINUED IN MAY OF 2019!


If you are still using QuickBooks 2016, you will need to purchase the newest version, QuickBooks 2019 prior to May 31, 2019.  Payroll, merchant services and bank and credit card downloads will no longer work in QuickBooks after the sunset date.  You will begin seeing notices in your QuickBooks file.  If you did not upgrade your QuickBooks after the Fall Newsletter reminder, you will need to plan on your upgrade sometime after January 31st, 2019.  While I recommend upgrades much more frequently due to changes and improvements over each year, this 4 year deadline is an absolute requirement to continue using the product safely.
