Process for Waitlist Enrollment

Parks & Recreation is now using a waitlist automation feature for all registered programs.

You will no longer receive an e-mail from Adaptive Recreation staff offering you a spot off the waitlist. It will now come through WebTrac. Please review the below information carefully and reach out to us if you have any questions!

If a spot becomes available for a program, waitlisted participants will receive an e-mail from WebTrac notifying you and will give you 36 hours to accept or reject the spot.

Please note - receiving the e-mail DOES NOT mean you are automatically enrolled. You must complete the following steps!

  1. Click on the link in the e-mail.
  2. Sign into your WebTrac account.
  3. Go to the My Pending Enrollments page.
  4. Locate the Enrollment Offer that you would like to accept on the Pending Enrollments from Waitlist DataGrid. Note that the status will be Enrollment Offered.
  5. Click Accept (screen will appear like below). Confirm that the correct Activity Section was added to the Shopping Cart.
  6. Click Proceed to Checkout and complete checkout as you normally would. All Processing Prompts, Fees, Waivers, etc. associated with enrolling into the Activity Section will appear.
  7. You will receive an emailed Enrollment Receipt.

Follow these same steps to reject an offer (no charge will apply) and the system will automatically offer it to the next person on the list.

Important notes!

  • You will have 36 hours from when you receive the e-mail to accept the enrollment.
  • You will receive a reminder e-mail 1 hour before your offer expires.
  • If you do not accept or reject the offer within 36 hours, your offer will expire, you will forfeit your spot and it will go to the next person on the waiting list.
  • You may also call 434-970-3260 and let our customer service staff know you were offered a spot from the waitlist and would like to register. They can assist you over the phone.
