New My Tasks Experience Coming with the Spring Release!

What it is: The Spring Workday Release brings an exciting update to our Inbox - the My Tasks Experience. Use My Tasks to find, organize, and complete tasks quickly, improving task management.

How to access it: After accessing your Workday Inbox as you normally do, the below display and benefits come with the new My Tasks experience:

Image showing the new My Tasks screen.

1) My Tasks navigational panel showing:

  • All Items - see all pending tasks resolved in the last 90 days.
  • Filters - the ability to filter tasks using specific criteria. For example: As the manager of a team, you can create a condition where you filter out expense item approvals greater than 50 USD from your My Tasks view.
  • Archive - view completed tasks.
  • Bulk Approve (when applicable) - approve items in bulk. Workday recommends using a filter first to view tasks that you can approve in bulk. To determine if a business process supports bulk approval, use the Business Process Configuration Options report.
  • Manage Delegations (when applicable) - access the My Delegations report to view and manage task delegations.

Note: The My Task navigational panel is collapsible to allow you more screen real estate to complete tasks that need your full focus.

2) Search - enables you to search for tasks across all items, in the archive, or within filters, using search types such as:

  • Title Search - search task titles using the search field; case-sensitive terms or exact word order is not necessary. Title Search can also be used as a delegate on business processes.
  • Advanced Search - use additional task and date range parameters to refine your search further. Advanced Search can also be used as a delegate on business processes.
  • Saved Searches - used to categorize tasks automatically based on the search parameters. When you create and save a search, you can access it from the Saved Searches tab. You can create and use saved searches only in All Items. You can't share saved searches.

3) Sorting - displays three options to sort by Newest, Oldest, and Due Soonest. You can also choose to show information in a Simple or Detailed format to help you determine which listed task needs your immediate attention.

4) Favorites - mark tasks as Favorites for quick reference while working through a task. Once completed, tasks are displayed in the Archive view that goes back for 90 days.

Coordinating and Facilitating Employee Training is Easier with Workday Learning!

Tired of struggling with LearningStream, manually tracking course attendance, or not having the ability to record a training session? Let Workday Learning do it for you!

What it is: Workday Learning streamlines coordinating and facilitating employee training into ONE centralized platform that automates Outlook meeting invites tied to an MS Teams meeting.

What does this apply to: Any employee training or professional development course offered virtually or in person. For example, the coming Spring Workday Open Lab event will switch from LearningStream registration to Workday Learning!

What are the benefits: The benefits of using Workday Learning include:

  • Ease of use - the LMS Administrator creates the course for you in Workday.
  • Automation - once the course is created in Workday, an Outlook meeting invite is autogenerated with an MS Teams join link. Reminders can also be sent at specific times.
  • Attendance Tracking - attendance is automatically tracked (including how long a participant attends a training!) within the MS Teams session generated by Workday, the course can also be recorded, and a transcript generated.
  • Waitlist - automation is also built for a waitlist. No longer track overflow registrants manually.
  • Reporting - tracking employee annual training is easier because it's all in Workday instead of separate platforms or paper sign-in sheets.
  • Resources - course documentation, such as a manual or job aid, can also be included in the course description and invite.
