Year End Instructions

***VERY IMPORTANT***

2023 Year end closing entries must be completed at least 2 days prior to the end of the 2024 fiscal year. If 2023 is not completed prior to the end of 2024, Eclipse will take the current fiscal year plus the previous fiscal year end and combine the balances when running the closing entries for 2024.

***If you are currently getting the below warning message when logging into Eclipse, you must take action on your Year End steps ASAP, even if you don't use the GL in Eclipse to file your taxes.

If you have not completed the 2023 year end, this warning message will appear 10 months after your fiscal year end date has passed. It will not disappear until completion of year end closing entries for the prior fiscal year.

Please verify that you are on the most recent version of Eclipse. If you see a message on the Work Center page in Eclipse that states "Eclipse Update Available", you are not on the most current version. If you need help running the update, please contact NASA Support at 320-352-1801.

To ensure a smooth fiscal year end, we strongly recommend reviewing the below listed information as soon as possible. This will ensure you are prepared for a smooth and easy fiscal year end close.

Mailing Labels

This time of year, many agencies send out cards to their insureds. Creating mailing labels out of Eclipse can make quick work of the task!

Begin by going to Reports, Report Maker, click Add at the bottom of the window to open a blank report.

***If this report has been created in the past you can also find it in the report list under 'Title' by the same name to use again this year.

When the blank report opens, enter a Report Title and fill in the following sections as seen in the screenshot below:



• Report Type: Customer
• Advanced Report Criteria Line 1: Policy Exception = 2, True: S, False: G, Any
• Report Format: Labels
• Sort: Name

The labels are formatted to match Avery 5160 labels. There are 30 - 1" x 2 5/8" labels per page.
