Permanent or Interim
Do You Have a Change in Key Personnel or Office Contact? We Need to Know!

KEY PERSONNEL CHANGES
When key personnel in your program change, whether on a permanent or interim basis, the CoAEMSP must be notified no later than (15) calendar days following the effective date of the vacancy.

Key personnel includes the President, Dean, Program Director, Medical Director, Associate Medical Director, Assistant Medical Director (out-of-state physician), and Lead Instructor.

A Failure to Notify of a Personnel Change Fee (see Policy X.10.) will be assessed for any program failing to meet any of the key personnel notification requirements. Additionally, failure of any program to meet any of the key personnel notification requirements or pay the fee may result in Administrative Probation (see Policy III.I.) or Probation which could lead to loss of accreditation or revocation of the Letter of Review.

OFFICE CONTACT CHANGES
If the contact information has changed for program personnel already on file with the CoAEMSP, use the Change In Office Contact form. This form is used to update contact information including office address, email, phone, etc.
FOLLOW THESE STEPS TO MAKE A KEY PERSONNEL CHANGE

  1. Review the CoAEMSP Policy Manual posted on our website here. Review Policy XVI.A-I Personnel Changes.
  2. Use only the most current forms posted on the Personnel webpage here.
  3. Complete the Contact Form for the appropriate position for key personnel with the Office Contact information as directed. The Contact Form is the only required form for the President or Dean.
  4. Under the specific key personnel position titles, email the list of required supporting documentation, including the specific Contact Form, as either individual PDF documents or you may combine the supporting documentation into a single PDF. The combined documents should be in the order listed under the position title (i.e., Contact Form, appointment/acceptance letter using CoAEMSP template pasted onto letterhead, CV/resume, all licenses/certifications used in credentials).
  5. All personnel documentation must be emailed to Lynn Caruthers at lynn@coaemsp.org.
  6. If you have an Interim replacement individual, you must notify the CoAEMSP by submitting the Contact Form for the appropriate position and any applicable supporting documentation.
  7. Handwritten forms are not accepted.
Reinstituted Fee Effective July 1, 2021
Failure to Notify a Key Personnel Change
Effective July 1, 2021, CoAEMSP Policy X.A.10. was reinstituted. 

After the onset of the pandemic, CoAEMSP made a conscious decision to waive the fee assessed when a program fails to notify the CoAEMSP of a personnel change.

Programs are required to notify the CoAEMSP of a change in personnel [i.e., President/CEO, Dean (or comparable administrator), Program Director, Medical Director, Associate Medical Director, Assistant Medical Director, Lead Instructor].

Programs that fail to notify the CoAEMSP of the personnel change(s) within the times prescribed in CoAEMSP Policy XVI.A-B Personnel Changes will be assessed a $100 fee.

Reminder: Your Annual Fee is Due July 31

The annual accreditation fee invoice for the 2021-2022 academic year was emailed to your program director on May 5, 2021. The fee is due July 31, 2021.

The CoAEMSP is encouraging all programs to pay their invoices via Automated Clearing House (ACH). This is in an effort to save time, streamline processes, reduce data entry, and eliminate additional processing fees. Payments may also be made via the View and Pay option located within the invoice.

Checks mailed using a traceable carrier such as UPS, USPS, or FedEx are accepted; however, we are moving toward requiring all future payments to be made via ACH or View and Pay. Credit cards are not accepted.

All programs selecting to pay by ACH should email a payment advice to sybil@coaemsp.org. (A payment advice provides the details on payment and provides advance notice to the recipient.)

The advantages of paying via ACH or the View and Pay Invoice are:
•  pay directly through the invoice
•  secure environment
•  payment processes in 3 days instead of 3 weeks (checks)
•  automatically applies to the invoice (less data entry errors)

Thank you for your attention to this annual accreditation fee cycle.
ACCREDITCON is Now On-Demand!

Even if you did not attend the virtual ACCREDITCON, you can still register to access all on-demand sessions now through December 31. Registration is $350 via PayPal or check. Plus, you can earn up to 15 CEs for these on-demand sessions.

(Guests who registered to attend the live stream can access the sessions by using the same login as for the live stream. Email jennifer@coaemsp.org if you have misplaced your login.)

These virtual workshops are held via Zoom and are designed to educate participants on the 2015 CAAHEP Standards and the accreditation process, enhancing the accreditation knowledge of Paramedic program faculty.
