Zen and the Art of File Organization

OK, here’s a question I get asked all the time: “How do I keep my files organized?”


Yes, I have the (correct) answer for you! Knowing where they reside (and how to access them) is paramount. BUT - first of all, there are a couple of things I need to clarify. We’re talking about the actual files that reside on your computer (and quite possibly on a cloud-based service as well, such as Dropbox, iCloud or Google Drive), NOT your email. The best rule is an oldie – “a place for everything, and everything in its place.” That quote is commonly attributed to Benjamin Franklin, but it appeared verbatim in “The Naughty Girl Won,” a story published in 1799.


But enough of the history lesson! The overall concept is to organize your digital files the same fashion you would organize your physical files – in a cabinet with folders inside. And yes, you can have folders within folders. (And folders within THOSE folders if you wish!)

Don't Ignore the Dreaded "Storage Almost Full" Warning!

If you ever see the “Storage Almost Full” notification – drop everything and handle it!


This is a “two-minutes to midnight” warning message – meaning it’s later in the day than you realize. At best, it’s a minor inconvenience, a lack of functionality. At worst – it could cause a computer crash, resulting in possible data loss, expensive recovery, and more bad stuff.


What does it mean? That the files in your computer (that includes System files and Applications) have filled up the physical space that your internal storage can handle. It’s not the type of thing that you can buy more storage – with modern Apple computers, you get what pay for at the outset, and that’s what you’re stuck with for the life of your computer. (Sure, you can retrofit your Mac with more internal storage, but trust me, that’s far more trouble than it’s worth!)


How to handle it? Delete files and then empty the trash. Check your DOWNLOADS folder – there are probably of plenty of no longer needed files in there, including installers. Drag those into the trash and then empty the trash. And NEVER click the "Don't warm me again about this disk!"


If there’s more space needed, there ARE options that involve some folders in the LIBRARY folder. The LIBRARY folder is hidden on purpose, because lots of damage can be caused if you don’t know what you’re doing in there. If the problem persists, you should call in a professional.

When in doubt, restart!


OK, I made up the percentage here, but I’m not the first one to ever do that, right? Anyway, when things get wonky, sluggish, or just not right, whether it’s on your iPhone, iPad, Mac, printer, or even your modem and router, a restart clears things up more often than not.


And I’m talking a TOTAL restart – not just a “put to sleep and wake back up” type of thing. Power off, wait a few minutes and power the device back on. Once you’re back and powered up, try the task you were attempting previously. In most cases, things will start working better.

Shut down your Mac by selecting "Shut Down..." under the apple in the upper left of the screen.
