eBiz Online Registration Launch 

 

We are excited to announce the launch of eBiz. 

 

Attached to this email you will find the eBiz URL (the link to the eBiz site) and the links to videos that will explain how to complete your eBiz registrations. In these, you will find instructions on how to set up your account, update and view information on yourself, and register and update your troop members for 2013. A brief explanation of these is below. If you are using cookie dough or requesting financial assistance, you must register those members with paper forms.

How to Set Up Your Account - You will need your name and email address that we currently have for you in Personify. (Note: If you do not have an email address listed with the council, you will need to contact the eBiz Help Desk to have it entered into Personify.) You will need to use your name and email address  -or-  your membership ID# (12 digits) and last name to set up your account.

 

Once you have your information ready, you will click on the CURRENT or PAST MEMBER button. Do NOT click on the New Member button as this will create a new record for yourself in Personify. eBiz is linked to Personify so any information or changes entered will update real time in Personify.

 

Follow the screen prompts; you will receive an email with a link back to the site for setting up your user name and password. Passwords must be alpha numeric. At least one digit must be a number. You will be asked to select a security question and answer for your account. This will be used in the case you forget your user name or password.

 

Once your account is set up, you will receive a Welcome email which will contain the link to follow to register your troop. Retain this link and information for your records.

 

How to Register Your Troop Members - Once the girls and adults have completed their membership forms and returned them to you with their payment, the 01 can Log In to eBiz, select Troop Management, and begin the registration for 2013. You will check the box next to the members' names that are reregistering, and then click on the down arrow in the ACTION BOX above the troop listing and choose RENEW. You will be asked to update information on each member that needs to be changed or added. Once you complete the update on each member, you will check out and make payment for your troop.  Girls who have never been registered before will need to use a paper form to register and be added to your troop.

eBiz Online Membership Renewal FAQ's

 

Who is able to renew online? 

Girls and adults registered in 2011-12. The 2013 membership year begins October 1, 2012.  We encourage all girls and adults to register before October 1.  
 

What payment methods are accepted to renew an individual's membership online?

Credit and debit cards are accepted. Check, cash, cookie credit and/or financial assistance require the use of paper registration forms.

 

Is using the eBiz online registration site easy?

Using eBiz is very easy. It is very similar to making an online purchase.  If you have ever made a purchase online, eBiz should be a snap!
 

Who can process registrations online?
Both parents and Troop Leaders (01 through Troop Management) can process memberships through eBiz.

 

Can Donations be made online? 

Yes, donations can be made online at the same time you register or at another time.


What are the benefits of online membership renewal through Troop Management?  

Troop leaders immediately know who has registered and can begin to use the features available in Troop Management almost immediately. It is an easy way to pay for your troop members' registrations using your troop debit card. You collect the registration forms from the parents, verify all information in eBiz and then complete the process.  

  

 What are the benefits of online membership renewal for parents?
It's fast, easy and convenient. It provides accurate spelling and contact information. Parents can pay for their daughter's registration and donation with their personal credit card.
   

How do parents/guardians and adults renew memberships?   

Parents/guardians of 2011-12 registered girls and registered adults go to www.gskentuckiana.org and click on the eBiz button.  Then, look for the buttons to create your Login.  

 

 

Does a girl member need an e-mail address to register?

 

If she is registering as an individual member she will need an e-mail address.  If she is part of a troop, the troop leader can automatically select her to "renew" when registering the troop.  


Online Troop Management with eBiz

 

What is online troop management?
Personify eBiz includes a page for leaders called the Troop Management Hub for managing troop communications, membership registration, in-person adult training course registration, etc.


What happens to the Troop Management Hub roster after 9/30?

Girls/adults who have not renewed their membership for the new membership year can no longer be accessed from the roster. The roster will only include registered members for the current membership year. Those who have not renewed by this date are still in the system and a parent can re-register the girl or adults can re-register themselves.  Re-registering before September 30th is the best way to ensure that all your members are in fact registered.

Should troop leaders use online troop management after 9/30 to renew lapsed members-prior year members who did not renew?
No. Adding previously registered girls/adults via Troop Management after 9/30 will create duplicates in the database.

How do troop leaders use the Troop Management Hub to register new members into existing troops? 
In order to affiliate a new girl/adult with a troop, the Troop Management Hub must be used to register the new member. The Troop Management Hub's "Add Girl" and "Add Adult" features are used to register new members into an existing troop, we are currently only taking paper forms for new adults and girls.  New girls/adults are defined as new girls/adults to Girl Scouts of Kentuckiana whether or not they have been registered with another Girl Scout council. (If a girl/adult is registered for the current membership year in another council and is transferring to Girl Scouts of Kentuckiana, then a Council Transfer Form which is available on our website www.gskentuckiana.org must be executed.) Girls registered with Girl Scouts of Kentuckiana prior to 2011-12 but not registered in 2011-12 should use the offline membership registration process in order to avoid creating duplicate records. Adults, on the other hand, may register online with a specific troop by activating their existing Online Registration account, purchasing an adult membership, and requesting to be affiliated with a specific troop by using the Self-Reporting feature during membership registration/renewal and from My Account.


Can I print cards for our members? 

Yes, one of the great new features is that Membership Cards can be printed as needed or requested through the Troop Management Hub. 

 

What are the benefits of online troop management for troop leaders?
*    Know who's registered in the troop and who's not

*    Email parents (The email address that shows up in the "from" field is the leader's) 

*    Print rosters

*    Update girls and parents contact information

*    Update Troop Meeting information, including the troop's grade level

*    Print membership cards for girl and adult members

*    Register NEW members and Re-register members 

 

Who has access to online Troop Management? 

Access to online troop management is by troop. Only approved troop leaders with a 01 position code in the Personify database for a specific troop have access to online troop management for that troop. If a troop leader has more than one troop, she must have a 01 position code on record for each troop in order to have access to online troop management for all her troops. Assignment of position codes and troops in Online Membership Registration is done offline by council staff. To request a position code or assignment with multiple troops, please use the Self-Reporting Feature available during membership registration/renewal and from My Account.

  

What information can leaders see in the Troop Management Hub? 

The leader can see each individual's registration status and the information that is contained on a member registration form only: contact information; grade; school; age; Girl Scout history; custodial care; racial/ethnic background.

  

Should troop leaders renew memberships through online troop management? 

It's preferable for everyone that parents/guardians renew girl memberships online and adults renew their own membership online. If, however, a troop decides with the consent of the parents and guardians to have the troop pay for the Girl Scout membership of each girl and/or each adult, then it is recommended that the troop leader use the troop's bank account debit card to pay for the online membership renewals using online troop management. Using online troop management to renew members is only available from the open date of online renewal through September 29, 11:59 PM EST

Troop leaders can register new members to their troops online.
