CHRiS Mascot

Hello Campus Community,

CHRS go-live is almost here! As a reminder, campus will gain access to CHRS on Wednesday, March 25. The timeline between go-live and the first payroll cut-off will be tight, so preparation now will make all the difference.

Below are a few important updates and action items to help ensure a smooth transition.

CHRS officially launches for the full campus community.

🔥Question of the Week🔥

Q: Will CHRS replace our department’s internal time-off request process (such as emailing a supervisor), or is it just replacing PeopleSoft?

A: CHRS replaces PeopleSoft as the official system of record for time worked and absences. However, it does not replace internal departmental communication or scheduling practices.

Departments may continue to use tools such as Outlook, Smartsheet, or shared calendars to coordinate coverage and scheduling. That said, we strongly encourage departments to formalize and clearly communicate their expectations to employees:

  • CHRS should be used as the official system for submitting and approving time worked and absences.
  • If additional tracking tools are used for scheduling purposes, employees should understand that entering the absence in CHRS is still required.

Clear communication now will help prevent confusion at go-live.

Important Conversations for Approvers & Timekeepers

Conversations you have with your teams before March 25 are crucial to a smooth transition.

Please connect with your employees to clarify:

How Employees Will Request Time Off

  • Employees should submit vacation, sick leave, and other absences directly in CHRS.
  • If your department also uses another tool for scheduling coverage, communicate how that fits into your process.
  • Ensure expectations are documented and shared with your team.

Expectations for Entering Time Worked

  • Hourly employees and those eligible for overtime or shift differential should enter their own time worked in CHRS.
  • Employees should also enter their own absences in CHRS.

We understand that some departments historically have had timekeepers enter time on behalf of employees. While that functionality exists, we highly encourage employees to enter their own time moving forward, with:

  • Timekeepers serving as reviewers/verifiers
  • Approvers serving as final approvers

Establishing this practice now will:

  • Reduce payroll delays
  • Improve accountability
  • Ensure timely approvals during the short window between go-live and payroll cut-off

Action Items for All Employees

Do it now

If You Are An Employee

  • Manually track your time from March 1 – March 24.

  • Hourly, overtime, and shift differential employees: track hours worked.

  • All employees: track any time off taken.

You will not be able to enter this information into PeopleSoft during this period. You will enter it in CHRS once access opens on March 25.

  • If you missed a CHRS Demo - or just want a refresher - please revisit the webinar recordings and job aids available in the CHRS Knowledge Base.

  • Sign up for post–go-live CHRS Office Hours. Our subject matter experts will be available to answer questions and provide support.

If You Are a Timekeeper

In addition to the items above:

  • Run and download key reports before the system pause (these reports will help you reconcile time worked and time off once CHRS is live):

  • Payroll Certification Reports
  • Leave Accrual Balance (LAB) Reports

  • Support your department: Help employees manually track time worked and absences during the March 1–24 reporting pause.

If You Are An Approver

In addition to the employee steps above:

  • Support your timekeepers and departments with manual tracking during the reporting pause.

  • Prepare to approve your direct reports’ time: If you have not previously been approving time for your direct reports, please review the demos and job aids to ensure you are ready to review and approve entries in CHRS before payroll deadlines.

Important Deadlines

deadline is coming

Please review the following important dates carefully:

  • March 9: Recruitment & Appointment Pause

  • March 17 (3:00 PM): Full PeopleSoft system outage begins.

  • March 25 (8:00 AM): CHRS opens to campus users.

  • April 1: Final deadline to enter and approve all March absences in CHRS.

  • April 5: Final deadline to enter and approve payable time (including students, hourly, overtime, and shift differentials) for the March period.

  • April 6: Full Service Restoration (hires, promotions)

Important Note for Timekeepers & Approvers

If you serve in an approval role, your timely review and action will be critical during the March 25 – April 5 transition period. Please plan dedicated time to review and approve transactions to avoid payroll delays.

Final Note

The timeline between March 25 go-live and payroll processing is tight. Everyone understanding their role and responsibilities from day one is critical to ensuring employees are paid accurately and on time.

More updates and reminders will continue as we approach go-live. In the meantime, if you have questions, please submit them through the CHRS Inquiry Form.

Thank you for your continued engagement and preparation.
