Dear 2024-2025 New and Returning IEA Members:


We are thrilled so many of you have started your IEA Membership for this new season!

We even had a few horse shows happen this past weekend!


On behalf of the IEA Membership Office, we wanted to give you an update on the new AccessIEATM database - what you can currently do, what is not ready yet - and what you can expect over the next several weeks/months.


If you have not already started your application, the Membership process this year is entirely brand new. And with anything being built brand new from scratch - there is a learning curve that we are experiencing as thousands of memberships come pouring in.


We sincerely appreciate your patience, good humor, and willingness to learn alongside us as we utilize this powerful new tool. Literally, every day our technology development team is adding new features, tweaking updates, taking feedback and making changes to ultimately provide an improved customer experience for all IEA members. We've come a long way - and still have several big sections of the database to add/utilize this Fall.


Here are some reminders that we want to point out:


  • The AccessIEA FAQs document on the JOIN page is constantly updated to reflect our latest release notes and known issues.
  • Region President and Complimentary Membership Coupon Codes are now available upon request. If this applies to you, reach out to kathryn@rideiea.org to request your unique code.
  • Rider history import was released last week. Parent-users must initiate this request or certify that a rider has no IEA history to import. This step must be completed before a coach can assign classes.
  • NOTE: The name entered into the digital-signature field must EXACTLY match the parent-user name as it appears in the top left under the profile picture in the dropdown (hamburger) menu - including ALL CAPS.
  • Class assignment functionality is still under construction and may not be offering the full selection of classes a rider is eligible for OR may be offering classes for which a rider is ineligible. Coaches are responsible for the correct assignment of rider classes and must review all relevant rules (Rule 3000) in the IEA General Rules and in pertinent Discipline-Specific Rules.
  • Coaches - We will announce when the class assignment validations are working more consistently and enforcing the correct advancement rules.


HORSE SHOWS:


  • Jennifer Eaton (IEA Membership Coordinator) has reached out to all teams hosting August and September shows.
  • PRIZE LISTS can be found on the TENTATIVE SHOW CALENDARS (found on the HOMEPAGE at www.rideiea.org or on each Hunt Seat Zone page.)
  • Instructions for HOW TO ENTER SHOWS can be found in each specific Prize List and may be different for different shows - please follow YOUR show's Prize List instructions. Entry instructions will be updated according to database functionality changes.


HERE IS WHAT YOU CAN DO NOW IN AccessIEA:



  • Join as a Coach
  • Coaches can set up their Teams
  • Join as a Youth Rider
  • Join as an Adult Rider
  • Join as an Adult Contributing Member (non-riding)
  • Join as a Junior Education Member (non-riding)
  • Coaches can purchase insurance
  • Coaches and ACM's can set up show host applications


COMING SOON:


  • Assigning classes to RETURNING Riders with built-in validations. (The current work-around FOR TEAMS ENTERING SHOWS IMMEDIATELY will be the paper entry form.) What class your rider is entered on the paper entry form will be their class assignment for the remainder of the season. Only COACHES fill out, sign and submit entry forms.
  • Automatically generated Prize Lists
  • Automatically generated Show Programs


COACHES: It is important to make sure your Zone Admin has your show(s) on the tentative calendar so that the office staff can reach out to you and guide you through this process as we get the database up to full speed for shows later in the IEA season.

** SPECIAL PROCEDURES FOR THE 2024-2025 COMPETITION SEASON


For all riders registering for the 2024-2025 competition season, their RIDER CLASS DETERMINATION DATE in which prior non-IEA SHOW EXPERIENCE counts when matching skill level and experience to class descriptions and eligibility criteria will be JUNE 3, 2024.


Any non-IEA experience occurring after June 3, 2024 will not impact a rider’s placement for the 2024-2025 competition season.
