DEI & Self Identification Data

The College has made a commitment to ensuring that its work is grounded in the principles of diversity, equity, and inclusion (DEI). A pivotal component of this commitment is the Self-Identification Data Initiative, which is being designed to collect comprehensive demographic information from applicants and registrants. This initiative aims to inform equitable regulatory practices at the College, with the ultimate goal of improving access to safe, ethical and quality care provided by registrants who represent the diversity of Ontario’s population.

Work is currently underway to ensure that the College has the needed infrastructure – technology, policies, procedures as well as education for staff, Council and committee members – to collect, maintain and use self-identification data appropriately and effectively.

Purpose of the Self-Identification Data Initiative

The primary objective of this initiative is to gather detailed demographic data to:

  • Identify and Address Barriers: By understanding the diverse backgrounds of its registrants, CRPO will be able to identify and mitigate potential obstacles faced by underrepresented groups within the profession.
  • Inform Policy and Practice: Accurate data enables the development of policies and practices that reflect the diversity of registrants and the communities they serve.
  • Enhance Equity Impact Assessments: The collected data will support the implementation of Equity Impact Assessments (EIAs), ensuring that decisions are fair and non-discriminatory.

Data Collection Process

The process involves:

  • Voluntary Participation: While participation will be encouraged to enhance the effectiveness of DEI efforts, providing self-identification information will be entirely voluntary.
  • Comprehensive Demographic Information: The data set includes demographic factors such as race, ethnicity, gender, sexual orientation, disability status, and more, aligning with best practices in self-identification data collection.
  • Confidentiality Measures: Strict protocols are being developed and will be in place before the initiative launches to ensure that individual responses remain confidential and are used solely for the purposes outlined.

Privacy and Data Security

CRPO is committed to protecting the privacy of all participants. Measures include:

  • Data Anonymization: Personal identifiers are removed to prevent the identification of individuals from the data set.
  • Secure Storage: Data is stored in secure systems with restricted access to authorized personnel only.
  • Compliance with Regulations: The initiative adheres to all relevant privacy laws and regulations, ensuring ethical handling of personal information.

Benefits to Registrants and the Public

Participation in the Self-Identification Data Initiative offers several benefits:

  • Enhanced Support: Data-driven insights allow CRPO to develop resources and support mechanisms tailored to the needs of diverse registrants.
  • Improved Services: Understanding the demographic landscape of practitioners contributes to more culturally competent and responsive mental health services for the public.
  • Strengthened Professional Community: A commitment to DEI fosters a more inclusive and supportive professional environment for all members.

Next Steps

CRPO will provide further details and guidance as the implementation phase approaches. Staff will schedule information sessions so that you can learn more about the initiative and its impact on the profession; please stay tuned for dates and details as we get closer to launch.

If you have questions or suggestions you would like to share before the information sessions are planned, please contact info@crpo.ca.

Your participation will be invaluable to the shared work of advancing equity and inclusion within the profession, ultimately enhancing the quality of care provided to the diverse populations we serve. We look forward to engaging with registrants to make sure this initiative is a success.

Professional Portfolio

Registrants are expected to keep track of their learning activities in a professional portfolio, which includes a learning record log and supporting documentation. CRPO has templates that can be used for the learning record log. The professional development portfolio must be maintained in a registrant’s own records for two PD cycles (i.e., 4 years).

Review your account and ensure your information is up to date

Registration renewal is a good time to review all information in your account, including your contact and practice information.

Registrants who are health information custodians are advised to designate a successor in writing (with the successor's consent). A “successor” is someone who agrees to become the custodian of your records in the event of your inability to fulfill this role.

Registrants should review their health information custodian (HIC) successor page to ensure the information is up to date. Registrants can update their health information custodian successor information at any time in their CRPO account.

See our Practice Matters article for information about health information custodians and successors.

Electronic Practice Guideline: Revised December 2024

CRPO’s revised Electronic Practice Guideline was approved by Council in December 2024. Changes include additional guidance on supervision and the use of AI and generative software. The Guideline also incorporates existing resources, such as CRPO’s cross-border therapy tool.

The Electronic Practice Guideline complements CRPO Professional Practice Standard 3.4: Electronic Practice. Registrants are encouraged to review the Guideline and Standard together.

Other resources relating to Electronic Practice are available in the “Electronic Practice & Cross Border Therapy” section on our Practice Matters page.

Privacy Breach Statistical Report

This is a brief reminder that health information custodians are required to report privacy breach statistics to the Information and Privacy Commissioner (IPC) by March 1. See the IPC’s website for more information.

For CRPO registrants: Please do not unsubscribe. CRPO uses email to communicate with registrants about important College updates. If you choose to unsubscribe, it is then your responsibility to regularly check our website to keep yourself informed about your College obligations. It is the responsibility of each registrant to make sure CRPO has your current contact information, updated within 30 days of a change, and ensure that the organization you work for does not block CRPO emails. CRPO may collect information about whether a recipient has read a message. CRPO may use this information for communication planning and record-keeping.
