SRD Comprehensive Review Digital File Name Length Issue
It is my experience that the new SRD digital comprehensive review process is going well and 80% of firms are undertaking their comprehensive reviews with the ‘digital’ option.
We would like to remind firms that the Microsoft Windows total path plus file name length is limited to 260 characters.
The drive letter and ending “null” (e.g. C:\ + null character) are a total of 4 characters leaving 256 characters for subdirectory (folder) path and file name length.
For comprehensive reviews, the SRD stores your data on the AOLS server (after the review is completed the data is deleted) using the following directory organization:
- Survey Review Dept\0 – 2024 Comp Rev Data\24-????\
- 51 char.
The SRD provides firms with a ‘directory tree’ structure to help organize the data that they provide for the review of their projects. An example path:
- Project 07 of 10 File xx-xxxx-xx\6 Project Field Survey and Calculations\
- 72 char.
The firm often adds additional subdirectories (folders) and then uploads the actual file:
- Firm Folder Name\ Firm Folder Name\
- typically 33 char.
The total length of the typical directory path is approximately 156 characters leaving 100 characters for the actual file name. Generally, this 100 characters limitation is not an issue, but firms do need to give some attention to their file naming conventions. We find that the file names assigned to emails and photos tend to be quite long (some are almost a paragraph!!).
When we receive or download files with long file names they may not ‘unzip’ or they may not be copied to the AOLS server. Sometimes the ‘warning’ messages from Windows do not let us know that files have been omitted and we end up with incomplete data.
To allow some ‘wiggle room’ in the system, SRD asks that firms keep the length of file names to 50 characters or less.

The Association of Ontario Land Surveyors (AOLS) is delighted to announce the recent swearing-in of three new Ontario Land Surveyors (OLS). We extend our warmest congratulations to these accomplished professionals.
On July 25, AOLS hosted a virtual swearing-in ceremony to formally welcome three new members to the association. Subsequently, an in-person ceremony was held on July 30 at 1043 McNicoll Avenue to commission five more members.
