Welcome to NGAUS 2024, August 23-26, at Huntington Place in Detroit, Michigan! Thank you for exhibiting! This newsletter includes important information to help you plan your booth, increase booth traffic and engagement, and get the most out of your participation.

Display Rules & Regulations



As you are planning your booth design, please review the IAEE Guidelines for Display Rules and Regulations. NGAUS abides by the International Association of Exhibition and Events (IAEE) Guidelines for Displays Rules and Regulations that outline the standard heights, lengths, and requirements of booths and the “Line-of-Sight” style. The aisle carpet color is tuxedo. All booths must be carpeted or have other floor covering installed, no exposed concrete. Booth spaces without carpet or other floor covering on Friday, August 23 at 4:30 pm will have carpet automatically installed at the exhibitor’s expense. 

Hanging Signs (Island Booths Only)


Island booths 400 sq. ft. or greater may hang a sign. All signs must be designed to comply with Show Organizer rules and regulations and facility limitations. Shepard is responsible for assembly, installation, and removal of all hanging signs, overhead truss, attachment and removal of light fixtures for truss and lights, as well as any additional installation required for chain motors, span sets or other packages.  

  

Please review the Hanging Sign Checklist/Requirements on page 130 of the Exhibitor Service Kit. Orders placed and diagrams submitted within 30 days of move-in are subject to additional late fees.  

 

If you have a sign or anything (truss, etc.) that has been approved to hang from the ceiling, ship it to the Advance Shipping Warehouse address by Wednesday, August 14. Hanging items must be identified and readily available since they are installed first before the show floor becomes encumbered by freight. See page 129 of the Exhibitor Service Kit for the Advance Hanging Sign Shipping label.

Please note Linear booths may NOT have a hanging sign or overhead truss.

Machine(s) Display Shipping Information & Display Diagrams


In order to ensure your machinery is properly handled and to avoid delays during set up, the Machine Shipping Information Request Form on page 29 in the Exhibitor Service Kit & Machine Diagrams are required to be completed and submitted to Shepard by Thursday, July 25

 

Uncrated machinery and machines over 5,000 pounds cannot be accepted at the Advance Warehouse. All uncrated machinery and 5,000-pound machine shipments should be delivered directly to the facility during move-in or on your designated target day and time. 

 

Be sure to use the appropriate machinery shipping labels; the Machinery Advance Warehouse shipping label is on page 30 of the Exhibitor Service Kit and the Machinery Direct to Show Site shipping label is on page 31. 

Shipping and Material Handling Information


Booth materials can be shipped in advance to the warehouse, or direct to show site. Be sure to use the appropriate shipping labels; the Advance Warehouse shipping label is on page 23 of the Exhibitor Service Kit and the Direct to Show Site shipping label is on page 24. NGAUS 2024 is marshaled. Please see the Marshaling Yard instructions in the next section of this newsletter. 


Material Handling or Drayage includes the unloading of your shipment, transporting it to your booth, storing and returning your empty crates/cartons and reloading your shipment at the close of the show. This is a separate fee so review all rates and information beginning on page 25 of the Exhibitor Service Kit. If you wish to self-unload booth materials from your own vehicle (trailers not permitted) using the Exhibit Hall docks, review POV instructions on page 35 of the Exhibitor Service Kit. Please see page 32 for Cartload Service ordering.

Marshaling Yard



Move-in and Move-out for NGAUS is marshaled, so all vehicles (trucks, van lines, privately-owned vehicles) delivering shipments to show site must check in at the marshaling yard in Lots 1 and 2. The address for the Marshaling Yard is:

After the show closes at 12:00 pm on Monday, August 26, Shepard will begin returning empty containers and skids in no particular order as soon as the aisle carpet is removed and/or plastic protection is installed on top of the floor. This process will take several hours, so please take this into account when making your outbound travel plans. 

 

All exhibitor materials must be removed from the facility by 12:00 pm on Tuesday, August 27. Any materials remaining in the hall will be rerouted or returned to Shepard’s warehouse to await disposal at the exhibitor’s expense. 

 

Freight carriers must be checked in with Shepard no later than Tuesday, August 27 at 12:00 pm. Please give the Marshaling Yard address, lots, and hours to your shipping carrier.

Exhibitor Badge Registration



If you have not yet registered for your exhibitor badges, online registration will close prior to the show, however, you may make changes to existing registrations in advance of the show by contacting American Tradeshow Services at questions@american-tradeshow.comor (985) 240-5511. You may also make changes and register onsite at Exhibitor Registration. To register online using the complimentary badges that come with your booth, please reference the instructions provided in the email to the primary booth contact from NGAUS 2024 noreply@swoogo.com. Additional badges may be purchased at the conference rate of $180 each.

BEWARE OF HOUSING POACHERS: This hotel reservation site is the only official hotel reservation site endorsed by NGAUS. NGAUS does not solicit exhibitors and attendees via phone and email to make reservations. Reservations made through third-party companies may not be guaranteed. Never provide your hotel confirmation number to a third party. NGAUShousing@lamontco.com manages NGAUS hotel reservations for more than 5 rooms.
