Verification of COVID-19 Vaccination or Negative Test

The League of California Cities is excited to welcome you to the 2021 Annual Conference and Expo next week!

To ensure the safety of our participants and in compliance with California Department of Public Health requirements for large events, all participants must provide proof of COVID-19 vaccination or a negative test result taken within 72 hours before the event starts.

To streamline the process for onsite registration, Cal Cities has contracted with EventScan, a COVID-19 event safety provider, to assist with COVID-19 prevention services. Attendees must provide proof of vaccination or negative test either prior to the conference or onsite.
STEP 1: Complete the Pre-Event Verification form
All participants must complete the EventScan Pre-Event Verification form even if you plan to provide verification records or test results onsite. The information you provide will assist Cal Cities and EventScan in planning for a smooth arrival process. Please complete the online verification form no later than Sept. 20, 2021.

The EventScan Pre-Event Verification form offers three options:

  • Provide Proof of Vaccination (per CDC definition, attendees must be two weeks past the date of their final vaccination to qualify as being fully vaccinated).
  • Provide proof of a negative test result within 72 hours of arrival (please do not complete online verification until negative test result is available).
  • Indicate that you would like to have a rapid test. A fee of $50 must be paid at the time of the test. Rapid test results are usually available within 20 minutes.
STEP 2: Arrive onsite for COVID-19 screening and badge pickup
The temperature of each participant will be checked each time they enter the SAFE Credit Union Convention Center.

  • If you have provided proof of vaccination or a negative test result through the Verification Portal, please proceed directly to Onsite Registration on the second floor of the SAFE Credit Union Convention Center. You may enter using the West Lobby (13th and K Streets) or the North Lobby (J Street). Be prepared to show the verification email or screenshot from EventScan.
  • If you still need to provide proof of vaccination or have a Rapid Test onsite, please proceed to the COVID-19 screening area in the West Lobby (13th and K Streets) of the SAFE Credit Union Convention Center prior to picking up your name badge at Onsite Registration.

All participants must first check in and pick up their name badge at Onsite Registration at the SAFE Credit Union Convention Center prior to attending any conference sessions or events, regardless of the location. Please note, no attendee will be allowed entry to any Annual Conference and Expo session or event without a conference badge.
What if I develop symptoms during the Annual Conference and Expo?
If a participant develops symptoms during the conference, or if a participant is flagged during the daily temperature check, they should either 1) not attend the conference or 2) proceed to the COVID-19 Testing Area for a rapid test. Rapid tests completed due to the development of symptoms during the conference will be provided at no charge to the participant.

Other health and safety protocols
In accordance with city, county, state, and federal requirements and recommendations, Cal Cities has created a plan to keep all participants healthy, safe, and comfortable during the Annual Conference and Expo. The precautions include requiring masks for all indoor venues, enhanced hygiene and sanitation procedures, and high-quality infection control and prevention measures.

Every participant — attendees, speakers, exhibitors, and staff — plays a critical role in risk mitigation. When we collectively respect the significance of this contribution, we are by definition advocating for the safety and well-being of our organization, cities, members, and fellow conference participants.

Change in plans?
If your plans have changed and you can no longer attend the Annual Conference and Expo, please remember to 1) email Megan Dunn by Wednesday, Sept. 15, 2021, to cancel your conference registration, and 2) cancel your hotel reservation. Each hotel has their own cancellation policies. Please refer to your hotel confirmation or the hotel website for more information.
